How to Set Up and Manage Titan Email on Cloudways

Learn how to set up Titan Email on Cloudways, verify your domain, create and manage mailboxes, select a plan, migrate existing email, and access Titan webmail.

Titan Email is a business email hosting add-on available through the Cloudways Platform. It allows you to create professional email addresses using your own domain, such as [email protected].

This guide explains how to add Titan Email to your domain, create and manage mailboxes, verify your domain, access webmail, change your plan, and migrate existing email from another provider.

Important:

Domain verification is required before Titan Email can reliably send and receive email for your domain. You must be able to update the domain's DNS records during setup.


Overview: Titan Email on Cloudways

Titan Email is an email hosting service for professional email addresses connected to your domain.

For example, when your domain is example.com, you can create email addresses such as:

Titan Email provides:

  • Professional email addresses using your own domain.

  • Mailbox storage based on the selected plan.

  • Spam protection.

  • Webmail access through a browser.

  • Mobile applications for iOS and Android.

  • Mailbox and domain management through the Cloudways Platform.

  • Email migration from Rackspace or another provider that supports IMAP.

Note:

Titan Email is a mailbox service for sending and receiving personal or business email. It is different from transactional email services that websites use to send automated messages such as password resets, order confirmations, and application notifications.

Who Is Titan Email For?

Titan Email is suitable for:

  • Agencies that manage email for multiple client domains.

  • Small and medium-sized businesses that need professional email.

  • Freelancers who want a branded email address using their domain.

  • Teams that need separate mailbox access and administrative controls.

Prerequisites

Make sure you have:

  • Access to your Cloudways account.

  • At least one paid Cloudways Flexible server or one paid Cloudways Autonomous application to be eligible for Titan Email.

  • A domain that you own or manage. The domain does not need to be currently added to or used with any other service in the Cloudways ecosystem.

  • Access to the service that manages the domain’s DNS records.

  • The existing mailbox credentials when you plan to migrate existing email, if any.

Tip:

Your domain registrar is the company where you purchased the domain. Your DNS provider is the service where you manage its DNS records. These may be the same company or different companies.

How to Set Up Titan Email for Your Domain

Setting up Titan Email involves selecting a plan, adding your domain, creating your first mailbox, and verifying the domain.

Step #1 - Access Titan Email

  • Log in to the Cloudways using your email address and password.

  • From the main menu, select Integrations, click on view all.

  • Select Add-Ons.

  • Click on Titan Email.

  • Go through the details that are present on this page.

  • Click on Add your First Mailbox.

  • Read Terms and Conditions.

  • Click on Accept & Continue.

Step #2 - Select a Plan and Add Your Domain

  • Select a Titan Email plan: Pro, Premium, or Ultra.

  • Enter the domain that you want to use for email.

  • Click on Add Mailbox.

  • Add mailboxes for your domain and create a strong password.

  • Click on Launch Mailbox.

Note:

Each domain added to Titan Email is managed as a separate mail order. A mail order is the Titan Email subscription associated with a specific domain.

  • The process of enabling Titan Email and setting up mailbox can take a few minutes.

After the mailbox is created, a confirmation message appears and its status is set to Active. However, when the domain is not verified, the user is prompted to complete domain verification in Titan Webmail or the mobile app before using the mailbox.

Step #4 - Verify Your Domain

Domain verification confirms that you own or control the domain. Until verification is complete, the domain shows an Unverified status. You can continue managing the mailbox, but it cannot send or receive emails until the domain is successfully verified.

  • Go to Integrations > Add-Ons > Titan Email as shown in the above steps.

  • Locate the required domain.

  • Select Verify next to the domain.

  • Review the DNS records displayed by Titan Email.

  • Sign in to your DNS provider.

  • Add the provided DNS records exactly as displayed.

  • Return to the Titan Email page in the Cloudways Platform.

  • Check the domain status again.

When verification succeeds, the Verify option is replaced by a verified indicator and the remaining management actions become available.

Important:

Do not remove your current email provider's DNS records until you are ready to route new email to Titan. Replacing the records too early can interrupt email delivery.

How to Create and Manage Titan Email Mailboxes

A mailbox is an individual email account created under your domain. The mailbox list displays each mailbox's address, storage usage, admin rights, and current status.

Add a New Mailbox

  • Go to Integrations > Add-Ons > Titan Email.

  • Open the required domain.

  • Select Add New Mailbox.

  • Enter the username for the mailbox.

  • Create a secure password.

  • Choose whether the mailbox should receive Admin rights.

  • Save the mailbox.

The mailbox initially shows the Provisioning status. You can use it after its status changes to Active.

Tip:

Use a unique, secure password for each mailbox. Only grant admin rights to trusted users.

Manage Admin Rights

A mailbox with admin rights can access the Titan Email control panel and manage email settings for the domain.

From the mailbox actions, you can:

  • Grant admin rights to a mailbox that is not currently an admin.

  • Remove admin rights from a mailbox that currently has them.

The admin rights should only be assigned to trusted users because an admin can access and manage the domain’s email settings through the Titan Email Control Panel.

Access and Use the Titan Email Control Panel

The Titan Email Control Panel is the main admin area for managing the email service connected to your domain. It provides more than admin-rights management and supports day-to-day email administration.

Depending on your selected plan and available features, admins can use the control panel to:

  • Manage domain-level email settings.

  • Administer mailboxes and user access.

  • Migrate emails from another email hosting provider using the self-service migration option.

  • Organize email accounts for the domain.

  • Configure aliases and email forwarding.

  • Review and manage mailbox storage.

  • Access spam-protection and other available email features.

To open the Titan Email Control Panel:

  1. Go to Integrations > Add-Ons > Titan Email.

  2. Open the actions for the required domain.

  3. Select Titan Email Control Panel.

  4. Sign in using the credentials of a mailbox with admin rights.

The Titan Email Control Panel opens in a new browser tab.

Note:

Only mailboxes with admin rights can access the Titan Email Control Panel. Available options may vary according to the selected Titan Email plan.

Titan Email Mailbox Statuses

The Status column shows the current state of each mailbox.

Status

Meaning

Active

The mailbox is ready to send and receive email.

Suspended

The mailbox is temporarily disabled and cannot be used until it is restored.

Deleted

The mailbox has been removed but may remain recoverable for 30 days from the date of deletion.

The mailbox list also shows used and total storage, such as 2.4 GB / 25 GB. Available storage depends on the selected plan.

Reset a Mailbox Password

Cloudways does not display the current password after a mailbox is created. When the password is lost, you can send a recovery link to another email address.

  1. Open the mailbox list for the required domain.

  2. Locate the mailbox.

  3. Open the mailbox actions.

  4. Select the password recovery option.

  5. Enter another email address where the recovery link should be sent.

  6. Open the recovery link and follow the instructions to create a new mailbox password.

Note:

Make sure you can access the recovery email address before sending the link.

Open Your Mailbox

You can access a mailbox after its status becomes Active.

Access Titan Webmail

  1. Open the mailbox list for the required domain.

  2. Locate the mailbox.

  3. Open the mailbox actions.

  4. Select the option to open the Webmail.

  5. Sign in using the complete mailbox address and password.

Titan webmail opens in a new browser tab.

Access Titan Email on a Mobile Device

Titan Email provides mobile applications for iOS and Android. Install the Titan Email application from the official application store, then sign in using the complete mailbox address and password.

Delete or Recover a Mailbox

Delete a Mailbox

  1. Open the mailbox list for the required domain.

  2. Locate the mailbox.

  3. Open the mailbox actions.

  4. Select Delete.

  5. Review the warning and confirm the deletion.

The mailbox status changes to Deleted.

Recover a Mailbox

A deleted mailbox can be recovered within 30 days of its deletion date.

  1. Open the mailbox list for the required domain.

  2. Locate the mailbox with the Deleted status.

  3. Open the mailbox actions.

  4. Select the recovery option.

  5. Confirm the recovery.

Important:

After the 30-day recovery period, the mailbox and its contents are permanently deleted, and cannot be recovered.

How to Migrate Existing Email to Titan

You can migrate existing email from Rackspace or another provider that supports IMAP by yourself or through support.

IMAP, or Internet Message Access Protocol, is a standard method used by email services to access and synchronize messages and folders.

Titan copies email through an IMAP synchronization. Your source mailboxes can remain active while the first synchronization runs.

Before You Start

Make sure:

  • You have added a Titan Email mail order for the domain.

  • You have created a Titan mailbox for every address that you want to migrate.

  • Each Titan mailbox uses the same address as its source mailbox.

  • You have the email address and password for every source mailbox.

  • You have the source IMAP server and port when you are migrating from a provider other than Rackspace.

  • You keep the source mailboxes active until migration and verification are complete.

Migrate from Rackspace or Another Provider

In the first release, email migration is not available directly from the Cloudways Platform. You can migrate your existing email using the self-service migration option in the Titan Email Control Panel or request assistance from Cloudways Support.

Option 1: Migrate Through the Titan Email Control Panel

  1. Go to Integrations > Add-Ons > Titan Email.

  2. Open the actions for the required domain.

  3. Select Titan Email Control Panel.

  4. Sign in using the credentials of a mailbox with admin rights.

  5. Open the email migration option.

  6. Select your current email provider.

  7. Enter the requested source mailbox and server details.

  8. Map the source mailbox to the corresponding Titan mailbox.

  9. Start the migration and monitor its progress until the initial synchronization is complete.

  10. Update the domain’s DNS records, including its MX records, so new emails are delivered to Titan.

  11. Confirm that new emails are arriving in the Titan mailbox.

  12. Run a final synchronization to copy emails received during the DNS update.

  13. After confirming that all required emails are available in Titan, you can retire the mailboxes at your previous provider.

When you migrate from an IMAP-based provider, you may need to provide the source IMAP server, port, mailbox address, and password.

An MX record, or mail exchange record, is a DNS record that tells email services where to deliver messages for your domain.

Option 2: Request Assistance from Cloudways Support

When you need assistance, contact Cloudways Support and provide:

  • Your domain name.

  • The current email hosting provider.

  • The mailboxes you want to migrate.

  • Any relevant error message or migration details.

Do not share mailbox passwords directly in a support request. Follow the secure credential-sharing process provided by Cloudways Support.

Important:

Large mailboxes may take longer to migrate. Plan the DNS change during a period of low email activity and keep the existing email service active until you confirm that all required emails are available in Titan.

Using Rackspace and Titan Together

Rackspace Email is not being deprecated as part of the Titan Email launch.

  • When your Cloudways account had an active Rackspace subscription before the Titan Email launch, you can continue using Rackspace and can also add Titan Email.

  • When your account does not qualify for continued Rackspace access, Titan Email is the email hosting option available through Cloudways.

  • Existing Rackspace customers are not required to migrate immediately.

  • When you decide to migrate, you can move supported mailbox data to Titan at your own pace.

How to Manage Your Domain and Subscription

Manage a Domain (Mail Order)

Each domain that you add to Titan Email is a mail order with its own management actions under Integrations > Add-Ons > Titan Email.

Available actions depend on the domain's current state:

  • Verify Domain: Appears while the domain is unverified.

  • Titan Email Control Panel: Opens the Titan Email Control Panel control panel for the domain.

  • Manage Plan: Allows you to upgrade or downgrade the domain's plan.

  • Delete: Replaces End Trial on a paid domain and deletes its mail order.

The Titan Email overview displays:

  • Total domains.

  • Total mailboxes.

  • Active mailboxes.

Delete or Recover a Mail Order

Deleting a paid mail order affects every mailbox connected to the domain.

Delete a Domain

  1. Go to Integrations > Add-Ons > Titan Email.

  2. Open the actions for the required paid domain.

  3. Select Delete.

  4. Review the effect on all associated mailboxes.

  5. Confirm the deletion.

The domain and its mailboxes are marked as deleted.

Recover a Domain

A deleted mail order can be recovered within 30 days of its deletion date.

  1. Locate the deleted mail order.

  2. Open its actions.

  3. Select the recovery option.

  4. Confirm the recovery.

Recovering the mail order restores the domain and all its associated mailboxes.

Important:

After 30 days, the mail order and its mailboxes cannot be recovered.


Frequently Asked Questions

Does Titan Email replace Rackspace Email?

No. Rackspace Email is not being deprecated. When your account had an active Rackspace subscription before the Titan Email launch, you can continue using Rackspace and can also add Titan Email. Other accounts use Titan Email as the email hosting option available through Cloudways.

How is Titan Email billed?

Titan Email is billed through the Cloudways blling system. Its charges appear with your other Cloudways charges.

Can I use Titan Email for more than one domain?

Yes. On a paid subscription, you can add Titan Email for multiple domains. Each domain is managed as a separate mail order.

Can I change my Titan Email plan later?

Yes. You can upgrade or downgrade the plan through the Manage Plan option anytime.

Can I migrate email from Rackspace?

Yes. Select Rackspace as the migration source, enter the source mailbox credentials, and map each Rackspace mailbox to the corresponding Titan mailbox.

Can I migrate email from another provider?

Yes, when the provider supports IMAP access. You need the provider's IMAP server details and the credentials for each mailbox.

What should I do when I forget a mailbox password?

Reset the password from the mailbox actions. The current password is not displayed after mailbox creation for security reasons.

Can I recover a deleted mailbox or domain?

Yes. You can recover a deleted mailbox or mail order within 30 days of deletion. Recovery is not available after the 30-day period.
