Effective client management is essential for success as the backbone of your digital agency's operations. In this article, we'll walk you through the step-by-step process of managing your clients within Client Billing. Whether you're onboarding new clients or updating existing information, this guide will provide you with all the information you need to streamline your client management process and enhance your overall agency efficiency.

How to Manage Clients in Client Billing

Below, we have covered some of the critical client management workflows. By mastering these workflows, you'll streamline your agency processes and propel it toward greater success.

View Clients

Log in to your Cloudways Platform using your email address and password.

  1. Navigate to the left menu bar and choose Client Billing > Overview.

  2. Next, switch to Clients. Here, you will see all your existing clients managed on Client Billing.

  3. If you wish to review information on any particular client, e.g., invoices and assigned services, you can select that Client.

  4. Navigate to Invoices to view and manage all the invoices and review the client's billing history.

  5. Navigate to Assigned Services to view services assigned to clients and generate payment invoices.

Add Clients

To add clients, first navigate to the Clients section of Client Billing, as shown in this section. If you've reached your limit for adding clients, you'll need to upgrade your Client Billing plan.

  1. Under Clients, click Add Client.

  2. Now, enter your Client Details:

    Basic Details:

    1. Client Name: Enter your client name or business name

    2. Email Address: Enter your client's email address

    3. Country: Select your client's country

    4. Contact Number: Enter your country's contact number

    5. Logo: Upload your client logo. Image file size should be a maximum of 2 MB and be in JPG or PNG format.

    Billing Details:

    1. Email Address: Provide your client's email address, which is best for sending invoices. You can also use the email provided earlier for the client's convenience.

    2. Billing Currency: Select the billing currency for this client for invoicing purposes. Please note that once chosen, the currency cannot be changed later.

    3. Tax: Define the applicable tax for your client by creating a custom tax. You can label it as GST, VAT, or any other term you prefer. The tax rate set here will be applied to all invoices generated for this client. To create a custom tax, select Add New Tax, then enter the Tax Name and Value. Once entered, click Add Tax to confirm.

  3. Finally, click Create Client.

    Congratulations! You have successfully onboarded your client on Client Billing.

Update Clients

To update the information about any client, first navigate to the Clients section of Client Billing, as shown in this section.

  1. Under Clients, select your desired client.

  2. Next, click Quick Actions and select Edit Profile.

  3. Next, update the information that you wish to update for the client. Once done, click Save Changes.

  4. If you update an email address, you will be prompted to confirm your changes; therefore, you can click Update.

Delete Clients

To delete any client, first navigate to the Clients section of Client Billing, as shown in this section.

  1. Under Clients, select your desired client.

  2. Next, click Quick Actions and select Delete Client.

  3. Next, you will be asked to confirm. So, you can just type DELETE and click Delete Client.

Important

Please note that you can not delete a client if it has any active service(s) assigned. Therefore, you must unassign all the services first and then delete the client.
